SIA “Easy Solution” — rules for processing personal data of natural persons

I. What data is processed

• Data of customers who are natural persons: first name, last name, phone number, e-mail address (the Data).

II. Purpose of processing

• The Data is processed to manage the relationship between the parties in connection with our services, to inform you about the repair status of your device and to issue invoices.
• To pursue the company’s legitimate interests, respecting the data subject’s fundamental rights and freedoms. The Data may be passed to third parties for debt recovery.
• If the Data is to be processed for other purposes, the consent of the natural person (the data subject) will be requested in advance.

III. Access to the Data and storage

• The Data is protected against external access and its use is monitored. Only employees who need personal data to perform their duties have access to it.
• Data may be transferred outside the EU or EEA only as described in the section “Cookies and analytics”.

IV. Disclosure of the Data

• The Data may be disclosed to law enforcement authorities at the request of a competent public official.

V. Retention period

• The Data is kept for the term of the service contract and for the period required by law, and then deleted.

VI. Rights of the data subject

• Natural persons have the right to check any Data relating to them, to request that incorrect Data be corrected, deleted or supplemented, to prohibit the use of their Data for purposes unrelated to the provision of our services, and to exercise other data subject rights provided by law.

Cookies and analytics

Cookies are small text files that a website stores on your device. We use:

• Necessary cookies — for the operation of the website, the shopping cart and saving your cookie choices (CookieScript). No consent is required for them.
• Analytics cookies — Google Analytics 4 (loaded through Google Tag Manager), to understand how the website is used and to improve it. Visit data is processed: pages viewed, device and browser type, approximate location, cookie identifier.
• Advertising cookies — Google Ads, to measure the effectiveness of advertising and to show our ads to people who have visited the website.

We use analytics and advertising cookies only with your consent, which you give in the cookie notice (Article 6(1)(a) GDPR and Section 7¹ of the Information Society Services Law). If you do not consent, the website works without them. You can change or withdraw your consent at any time in the cookie settings; withdrawal does not affect the lawfulness of processing carried out before it.

The expiry period of each cookie is shown in the cookie settings (for Google Analytics cookies, up to 2 years). We keep Google Analytics event data for 2 months and user data for 14 months, after which it is deleted automatically.

The data is received by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland). For analytics, Google acts as our processor; for advertising services, Google may also process data as an independent controller. Google may transfer data to Google LLC in the USA on the basis of the European Commission decision on the EU–US Data Privacy Framework and the European Commission’s standard contractual clauses.

Recording of phone calls

SIA “Easy Solution” (iServiss) records incoming and outgoing phone calls with customers in order to document the agreed repair, price and other terms, and to handle complaints. The legal basis is our legitimate interests (Article 6(1)(f) GDPR). We keep recordings for 2 years from the date of the call or, in the event of a complaint or dispute, until it is finally resolved, and then delete them. Recordings are accessible only to iServiss management and the employees handling the relevant order, and to our telephone and e-mail service providers acting as processors. You have the right to receive a copy of your recording, to object to the recording, to request its deletion and to lodge a complaint with the Data State Inspectorate (Datu valsts inspekcija, www.dvi.gov.lv). If you do not want your call to be recorded, contact us by SMS, e-mail or in person.
